THE WORK
01The challenge:
Six offices, unregistered numbers, and texts that never arrived
ScaleUp Digital ran marketing for a real estate agency with six offices across two states, and each office worked its own leads from its own numbers. None of those numbers were registered for business texting, and carriers were filtering close to four in ten messages. A buyer who asked about two listings was often called by two offices.
Rental applicants paid their application fee by check or Zelle, and office managers matched payments to names by hand every Friday. Some applicants signed with another agency while their fee sat unconfirmed for days. By the agency's count, one application in eight was lost that way.
02What we built:
One registered sender for six offices, and fees that move the deal
We registered the agency's brand and its A2P 10DLC campaigns through Twilio and moved all six office numbers onto them inside GoHighLevel. Every web form now carries carrier-approved consent wording, and each contact stores when and where they opted in. STOP and HELP replies are handled automatically, and no text sends outside 8 a.m. to 8 p.m. in the lead's time zone.
An n8n workflow sits in front of the pipeline. It matches each new lead on phone and email, merges duplicates, and assigns the contact to the office that owns the listing's ZIP code. Each stage runs its own follow-up sequence. When a rental applicant pays through a Stripe link, the webhook moves the opportunity to Application paid and stops the reminders.
03What changed:
Texts arrive again, and no lead gets called by two offices
Completed rental applications rose 14% in the first quarter after launch, now that a fee confirms the moment it is paid. Text delivery rose from 61% to 97% once the A2P registration cleared, and duplicate calls between offices stopped in the first week.
Office managers no longer match application fees by hand. ScaleUp Digital keeps the client relationship and reports results monthly, while we run the n8n workflows and the carrier registration on retainer. Each office has its own view of the pipeline, filtered to its ZIP codes.
