THE WORK
01The challenge:
Nine hundred leads a month, and agents trusted about thirty
PropVista, a real estate group covering eight suburbs, sent all of its Facebook and Google ads to one homepage form that asked for a name and phone number. About 900 leads arrived each month. Agents worked out that roughly 30 of them were buying within six months, in the area, and able to get a mortgage.
The ad platforms had no way to tell the good leads from the rest, so they kept finding more people like the 870 who went nowhere. Agents spent their mornings calling wrong numbers and renters, and the group was paying about $190 for every lead worth a second call.
02What we built:
Ads optimize for the leads agents want to call
Google Ads now send each searcher to a GoHighLevel landing page for their suburb, with a three-question form: timeline, price range, and whether they are pre-approved or paying cash. Facebook lead forms ask the same questions, and Make.com pulls those answers through the Facebook API into the same pipeline within a minute, tagged by campaign and suburb.
A scoring step in GoHighLevel marks a lead qualified when all three answers fit, and sends it to the agent who covers that suburb. Everyone else receives a monthly email of recent sale prices nearby until they update their answers. Make.com reports each qualified lead to Google Ads and Facebook as a conversion, so bidding follows the leads agents keep.
03What changed:
Five times the qualified leads from fewer form fills
Qualified leads rose 400% within three months, from about 30 a month to about 150. Total form fills dropped to around 480, because the ads stopped chasing people who would never buy. Cost per qualified lead fell from $190 to $44 on a similar budget.
We handed the build to PropVista's in-house marketing coordinator after two weeks of side-by-side running, with a recorded walkthrough for each Make.com scenario. Adding a suburb now means cloning one landing page and one Facebook form, and the group has added three that way.
